It has been a busy week for me, and I didn’t post too many stories this week
But the show has to go on…
Hustle & grind is the name of the game for the majority of people entering into entrepreneurship,
I was the exact same when I started, I was listening to gary vee’s video, trying to get my ass off the ground and push myself to get more clients, thinking about business and how I was going to dominate the industry with my meager knowledge in marketing after spending a few thousand dollars running ads for my own dropshipping store
To me, at that point in time that was “productivity”. Right now it is the definition of hell
I always thought doing more is being more productive, but at a certain stage there’s a limit to your own time, pushing beyond your energy levels isn’t the solution
Some of my friends who saw me not using social media for the past 2 years were asking me how exactly I post so much now?
and be so “productive” in content and still manage around 3 businesses?
The answer is delegation and systems
The simplest way to get more productive isnt, creating a better to do list, time blocking method, eating the frog the first thing in the morning…
Rather it’s just purely about delegating tasks that are low in value and high in time
Stuff like admin, replying to certain emails, invoicing, claims etc
If you are at 6 figures and want to get to 7, hire a personal assistant to help you with such tasks so that you can think and make better decisions for your business
now where people go wrong with hiring is they try to hire a duplicate of them. The truth is you can’t expect your hires to work as hard as you OR as good as you when you first start hiring entry-level positions.
So you will need to be able to hire for character and train them with SOPs
one of the best hires for me isn’t a marketer, media buyer, or customer service, rather it’s a personal assistant.
My life changed drastically when I hired a personal assistant.
You basically delegate all the administrative and repetitive tasks to the personal assistant and they can do the rundown of your day for you and lastly do the research for your daily life like where you can eat for what price point, travel itinerary (for times where you hate doing the research with friends and family) & help you with accounting which takes a lot of time.
they are basically like taking away all the task that takes a lot of energy and time but doesn’t help you grow the business in leaps and bounds
this allowed me to free up close to 40 hours a month of my time and with a virtual personal assistant, it doesn’t cost much as well.
Here’s how I hired my personal assistant
- record down all the energy-draining tasks you don’t like doing day to day and what you are bad at doing for e.g. calendar management/invoices etc
- use that list to make a job description and post it onto job sites like onlinejobs.ph
- get them to send you an email of their resume and why they are a good fit for your business.
- I usually ask them to follow the instructions at the end of the job posting to send me an email with a specific subject line. if they don’t even follow this simple instruction they won’t qualify for the next steps
- Get them to answer a few questions to assess them based on traits you want
- For example, I wanted a Personal assistant who takes initiative to solve problems and is very organized. so i asked the candidates to tell me a time when they had a problem that they didn’t know how to solve, and what did they do.
- If they are able to tell me a very precise memory and also show exactly what their thought process is, they have passed the first test
- Task test, this will be the last test before the interview where we will be giving them a task to finish by a certain date. This helps to further filter down people who are serious about applying and also lets you see how good they are on a small task.
- Lastly, this is where you have a few candidates who are supposedly a good fit. this is when you interview them and choose one to hire.
now even with this robust hiring process, it’s not foolproof. you will still get candidates who might not be the best fit after testing them out for a month or so.
so always hire with probationary periods and communicate with your team members.
worst comes to worst, you can always fire and hire again.
